How do I reconcile a marketplace payout to orders and the bank deposit?

Normalize a settlement into signed components, tie order-level net amounts to an expected ledger, and isolate reserves, adjustments, taxes, and timing differences without discarding unmatched rows.

Freeze the scope before comparing totals

Choose one marketplace payout or settlement ID, one currency, and the exact export scope. Save the original marketplace report and the bank deposit record unchanged. Payout date and transaction date may differ, and one bank deposit may reflect split payouts or timing adjustments, so confirm which report rows belong to the selected payout before treating a difference as an error.

Normalize every component with an explicit sign

Map sales, refunds, marketplace fees, fulfillment fees, shipping labels, tax collected, tax withheld, credits, adjustments, reserves, and other rows into a signed ledger. Use positive sales, collected tax, and credits; use negative refunds, fees, labels, and withheld tax; document the sign for adjustments and reserves. Do not silently drop an unfamiliar native category merely to make the total match.

Perform the payout and order checks separately

First sum every normalized settlement component and compare that total with the bank deposit inside a seller-chosen cent tolerance. Then group linked components by order ID and compare each settlement net with an expected order net built from sales, shipping credits, seller-collected tax, refunds, expected fees, and other deductions. Matching the deposit does not prove every order or fee is correct.

Keep unmatched rows in the result

Rank order deltas first, then expected orders missing from the settlement, settlement-only order IDs, and matched orders. Preserve account-level rows without an order ID—reserves and some adjustments may be legitimate and still explain the deposit. Investigate each difference against the original reports, payout status, deferred transactions, refunds, disputes, taxes, and bank timing before changing books or challenging a fee.
