How do I reconcile WFS customer-return costs to a settlement?
Group redacted seller-supplied WFS Customer Returns rows by reason, status, and disposition, then compare refunds and fees with supplied settlement lines without forcing unexplained adjustments to match.
Align the return and settlement scopes first
Export the WFS Customer Returns and Settlement views for one marketplace, currency, and compatible reporting window. Preserve seller-owned row and return-order references, SKU, quantity, Walmart-supplied reason, status and disposition labels, refund amount, and return fees. Do not include buyer names, addresses, messages, or payment details. Save the source files and generation times because a settlement can post after the operational return row and make a same-day comparison incomplete.
Group operational cost without erasing source labels
Normalize surrounding whitespace and letter case only for grouping, while retaining the first supplied label as the display value. For each reason, status, and disposition, count rows, distinct return-order references, units, refund amount, and return fees. Combined reported cost is refund amount plus return fees. Divide each group's combined cost by the batch total to expose concentration, using zero rather than an invented percentage when total cost is zero.
Map settlement lines into explicit buckets
Classify only seller-supplied settlement lines as refund, return fee, credit, or other adjustment. Sum refunds and fees separately; do not net credits into either source total before the comparison. Keep unfamiliar or other-adjustment amounts in their own exception bucket instead of allocating them to the largest return reason. A total that can be forced to match by dropping an unexplained line is not a reconciliation a bookkeeper can audit later.
Calculate settled-minus-reported variances
Compare settlement refund lines with the summed report refund amount, and settlement return-fee lines with the summed report return fees. Define variance consistently as settled minus reported, round money to cents, and apply a seller-chosen tolerance to each comparison. Calculate net settled return cost as settled refunds plus settled return fees minus credits. If no settlement lines are supplied, finish the grouping but leave reconciliation fields null instead of calling the report matched.
Investigate exceptions without declaring fault
Review timing, duplicate rows, currency, refund status, credits, and unclassified adjustments against the live authorized reports. A variance flag means the seller-supplied totals differ beyond the chosen tolerance; it does not say which side is wrong or that money is owed. Friday reads no Walmart account, return, order, or buyer identity, disputes no return, files no claim, and never changes a settlement, fulfillment record, listing, or seller account.
