How do I reconcile Shopify chargeback debits and recoveries?
Check disputed-amount and chargeback-fee debits separately from later recoveries, preserve FX as its own cash context, and rank component gaps without claiming Shopify owes money.
Build one redacted row per resolved chargeback
Start with a seller-owned reference, opened and resolved dates, the supplied outcome, disputed amount, chargeback fee, and the four recorded settlement components: disputed-amount debit, fee debit, disputed-amount recovery, and fee recovery. Keep all rows in one reporting currency and retain any recorded FX adjustment as a separate signed field. Remove customer, order, payment-instrument, bank, message, and evidence content. A complete row makes each cash movement reviewable without exposing the underlying dispute file.
State expected components from the seller's source
Record the disputed amount and fee debits that the seller expects from the authorized payout evidence. For a resolved outcome, separately record the disputed-amount and fee recoveries the seller expects; do not infer them from an outcome label. An outcome such as won, partial win, or lost is supplied context, not a formula. The source payout terms and resolved settlement rows decide which expected values belong in the comparison.
Compare all four components independently
For each component, subtract the seller-expected amount from the recorded amount inside a chosen cent tolerance. Keep possible excess debit, recorded-below-expected debit, possible recovery shortfall, and recorded-above-expected recovery in separate totals. Never let an extra recovery conceal a larger debit or let a fee difference cancel a disputed-amount difference. Rank dual debit-and-recovery mismatches before single-side differences, then retain reconciled rows as context.
Keep foreign-exchange movement outside component truth
Show the sum of the four recorded settlement components before FX, then show a second cash total that includes the separately recorded signed FX adjustment. Currency movement can explain why bank cash differs from a component ledger, but it must not change whether a disputed-amount debit or fee recovery matches the seller's expected source amount. Do not invent an exchange rate or convert unlike currencies merely to make a payout balance.
Verify the authorized payout before bookkeeping action
Open the original chargeback and payout records for the highest-ranked aliases and confirm resolution status, timing, amounts, fee treatment, partial recovery, currency, and later adjustments. Refresh the closed reporting scope before changing books or contacting support. This arithmetic does not prove Shopify owes a recovery or applied the wrong debit. Friday reads no Shopify account or dispute, submits no evidence, files no case, claims no funds are owed, moves no money, and changes nothing.
