How do I triage TikTok Shop return requests before auto-approval?
Apply seller-supplied response windows to redacted return-request stages, keep refund exposure visible, and verify every decision in Seller Center.
Export the current request state without buyer data
Use a seller-owned request alias, request date, seller-supplied reason label, current stage, amount at risk, and only the response, escalation, or closed dates appropriate to that stage. Remove buyer identity, address, messages, evidence, raw order references, tracking, and payment information. Keep the authorized source and export time separately. The redacted queue needs timing and exposure facts, not the customer story or content a reviewer will inspect in Seller Center.
Calculate from the seller-confirmed response window
Add the seller-supplied response-window days to the supplied request date. Do not embed a remembered platform duration or assume every reason, fulfillment path, or account has the same terms. Show negative days as overdue, flag dates inside the seller's warning window, and preserve the exact current stage. This arithmetic is a planning aid; it does not verify when TikTok Shop will auto-approve, escalate, close, refund, or otherwise act on a specific request.
Keep open, awaiting, escalated, and closed work separate
Queue overdue return-requested rows first, then respond-due rows, awaiting-buyer-return rows, escalated rows, and closed context. Within a band, use deadline then supplied refund exposure. Summarize unresolved exposure by supplied reason and queue state; report escalated exposure separately and exclude closed rows from active totals. Never subtract a closed win or expected recovery from another open request, because each platform decision stands on its own record and timing.
Review the source facts before selecting an action
For each urgent alias, inspect the authorized request reason, current status, item and return facts, evidence requirements, response controls, and any platform communication. Confirm that the dates and amount in the queue still match. Record the review result next to the alias, but keep response text and evidence outside this calculation. A deadline queue must not approve, deny, refund, escalate, contact a buyer, or create a response on the seller's behalf.
Treat the result as a worklist, not a decision engine
A reviewer should refresh the report after any authorized manual action and retain closed rows only for context. This method does not decide whether a return should be approved, who is responsible, whether a refund is owed, or what TikTok Shop will do. Friday reads no TikTok Shop account, writes or sends no message, issues no refund, approves or closes no request, opens no escalation, changes no order or account, and publishes no listing.
